About the Job
In this role, you will work to provide a high level of efficient and effective administrative and operational support to your team and business. You will work in a small team of Office Assistants to keep the Boston office up and running.

Responsibilities include:
  • Manage incoming and outgoing mail including last-minute and overnight deliveries
  • Ensure the mail and printer rooms are well maintained and tidy
  • Ordering and maintenance of office supplies
  • Maintain the security system logs, organizing ID cards and building cards for new starters and recovering them from leavers
  • Welcome visitors and direct them accordingly
  • Receive and log deliveries to the office and notify relevant person of their arrival
  • Assist with keeping the office tidy, including printer rooms, the kitchens, meeting rooms, and communal spaces
  • Assist with coordinating necessary office maintenance
  • Assist in conducting monthly health and safety walkarounds for the office
  • Recognizing when to escalate hazards or issues to manager or Building Management
  • Help in maintaining the First Aid kits in the office and keeping the staff lists up to date
  • Support the Office Manager and Kitchen Assistant in organizing events as needed
  • Support the ordering and putting away of food and supplies for staff refreshments in the absence of the Kitchen Assistant
  • Any other general administration duties required to support the operation of the office
  • Facilitating new starters and leavers with equipment and set ups
  • General understanding of budget parameters in the role and staying within those guidelines when making purchases
  • Understanding the ESG guidelines and working to improve sustainability in the office
  • Be proactive with making suggestions to improve processes, recognizing where efficiency gains can be made and playing an active role in trialing these/rolling these out
  • Assist with research and projects as needed
  • Responsible for day-to-day operations of the office in the absence of the Office Manager

About You:
  • Good understanding of Office 365 including MS Word, Excel, SharePoint and Outlook

  • Good communication skills
  • Detail oriented
  • Ability to prioritize workload, work independently and support other team members in the absence of a supervisor/manager
  • To display flexibility to cover the needs of the business. This might mean taking on different tasks in the absence of other staff members
  • Must be able to physically move and lift items up to 30 lbs
  • Willingness to complete the offered free certification in fire safety as part of the Fire Marshal team
  • Willingness to complete the offered free certification in CPR/AED as part of the First Aid team

Location
This role is based out of our beautiful Boston, MA office located in the North End and there is a requirement to be working from the office 5 days a week.

Compensation and Perks:
  • Salary of $45,000 to $50,000 (depending on experience)
  • 90-100% coverage of insurance premiums
